Job Description

Job Title:  Office Business Development & Communications Manager
Department:  Business Development & Communications
FLSA Status:   Exempt
Schedule:  Monday-Friday, 9:00 to 5:30 p.m. evenings and weekends as required
Reports to:  Office Partner-in-Charge, Business Development Chair and Global Director of Business Development and Communications

General Summary:

Under immediate supervision of the Office Partner-in-Charge and Business Development Chair, and under the general supervision of the Global Director of Business Development & Communications, and following prescribed Office and Firm procedures, the Office Business Development & Communications Manager is responsible for providing support for local business development activities, including, but not limited to:

• Pitches, presentations and responses to RFPs
• Client base analysis
• Civic projects
• Communication of Firm and Office business development resources to lawyers
• Coordination/communication with Firmwide Business Development & Communications
• Coordination of selected seminars, receptions, and special events
• Coordination with Production Services
• Corporate gifts
• Industry and company research
• Mailing lists
• Market research
• Presentation development, including PowerPoint
• Publications distribution
• Special projects, as required

The position involves working closely with Partners resident in the office, coordinating with other offices around the globe, as well as serving as liaison with the Firmwide Business Development & Communications Department to facilitate Firmwide business development initiatives and objectives and to support the Firm’s strategy. The Manager is expected to perform all job duties with a commitment to providing superior service to clients, producing quality work products, and maintaining an atmosphere of teamwork and continuous improvement.

Essential Duties and Responsibilities: (Duties that are performed throughout every work day, as necessary)

• Provide ongoing support, as required, to the office Business Development Chair

• Coordinate all functions related to preparation of proposals, including in-house database research; organization of business development materials and attorney work product; drafting, editing, and conforming proposals to Firm standards; assisting in the preparation and distribution of the finished product; and following up to determine the outcome of the proposal, as well as communicating information about the proposal to the Firmwide Business Development & Communications Department for entry into the Firmwide Proposal Database.

• Collaborate with lawyers on the preparation of written articles for submission to industry related publications for client development purposes.

• Make recommendations for programs, seminars, and receptions targeting prospective clients including, making recommendations as to which clients and potential clients are invited to attend the event.

• Respond to and direct all telephone inquiries, written inquiries, etc. as they relate to business development.

• Coordinate, where applicable, with other Office BD&C Managers in distribution of information and materials for proposals and reports, as well as in multi-office seminars or special events.

• Maintain and update the office page on the Jones Day web site, along with office-specific brochures and other marketing materials.

• Organize selected seminars and receptions relating to client development activities.

• Coordinate client entertainment activities.

• Maintain office entries in the Firmwide mail database.

• Monitor the office business development and communications budget.

Other Duties: (Duties performed periodically, as necessary)

• Provide Business Development & Communications orientation to new Partners and Associates, as prescribed by Firmwide procedures.

• Interface with local public relations firms on specific issues.

• Participate in Firmwide Business Development & Communications Department meetings and conference calls.

• Draft and provide reports relating to office activities to Firmwide Client Affairs Partner and Firm Director of Business Development and Communications, as required.

• Maintain office target list and business development plan

• Special projects, as assigned.

Essential Knowledge, Skills, and Abilities

Organization and time management

Ability to perform in-depth research on external and internal databases, including Lexis/Nexis and Internet sources, and through interviews and correspondence with lawyers throughout the Firm.

Thorough knowledge of Word, Lotus Notes, Excel, PowerPoint and internal and external databases

Ability to work independently, take initiative, set priorities, and see projects through to completion

Ability to work with a wide range of people in a team setting

Ability to establish effective working relationships, both internally and externally

Proficiency with office equipment used on a regular basis, including computers, printers, copiers, facsimile machines, and telephones

Educational/Job Experience Requirements

Bachelors degree and at least five years’ experience in a Marketing Department of a legal or professional services environment required. Advanced degree (MBA, MS, or MA) preferred.
